UltraEx provides same-day medical courier services to hospitals, clinical labs, pharmacies, and surgery centers across Northern California. We move STAT specimens, temperature-sensitive medications, sterile processing trays, and medical records on documented chain of custody, with live dispatch available every hour of every day. We’ve done this work from the same corridor since 1981.

The stakes

What happens when a medical courier misses the window?

A missed pickup window usually ends in a redraw. The specimen degrades past its stability limit, the result gets rejected, and the patient comes back. Downstream, infusion appointments shift, OR schedules slip, and your staff spends the afternoon on the phone instead of on patient care.

61.9–68.2%

of all laboratory errors happen before the sample reaches the analyzer

Analytical errors account for 13.3 to 15 percent. The instrument is rarely the problem. The handoff is. Biochemia Medica, 2020

Transit time, temperature, handling, and proof of who held the specimen all sit in that phase. A courier that treats a vial like a package is adding risk exactly where most errors already live.

The sample can’t wait

Stability windows don’t move. Run long or drift warm and the specimen stops being usable.

Documentation has to hold up

PHI moves with the specimen. No custody record means a compliance exposure you can’t audit later.

Contractors can decline

Your 4 p.m. STAT run competes with whatever else is on that driver’s screen. Nobody tells you until it doesn’t happen.

What qualifies a courier

What makes a courier a medical courier?

A medical courier is trained and credentialed for regulated healthcare material, not just fast delivery. That means HIPAA training for anyone touching PHI, documented chain of custody on every transfer, handling protocols for specimens and pharmaceuticals, and dispatch that answers at any hour.

How do you set up medical courier service?

Setting up an account takes one conversation. You tell us what moves, where, and how often. We map the routes and confirm any facility access or security protocols. Then you book by phone or online and track every delivery in real time. Most accounts go live within days.

Capabilities

What do medical courier services include?

Medical courier services cover lab specimen transport, pharmacy and infusion delivery, sterile processing support, medical records, and surgical supply logistics. UltraEx handles all of it on scheduled routes, on-demand STAT runs, or both, on the same chain-of-custody documentation and the same 24/7 dispatch.

Lab specimen transport

STAT and scheduled pickup for hospital labs, reference labs, and clinics. Temperature-controlled, documented at every handoff.

Pharmacy and infusion

Specialty, infusion, and home-care deliveries timed to the treatment schedule rather than a delivery window.

Sterile processing (SPD)

Trays and sterile supplies moved between facilities and reprocessing sites so OR schedules hold.

Medical records and PHI

HIPAA-trained drivers, sealed transfer, photo ID verification, documentation that satisfies an audit.

Who we serve

Who uses medical courier services in Northern California?

Hospital systems, clinical and reference labs, independent clinics, pharmacies, surgery centers, and public health labs. The buyer is usually a department leader rather than procurement: a lab manager, SPD director, pharmacy director, or infusion services director who owns the schedule.

Clinical and reference labs

You’re measured on turnaround and rejection rate. We run specimen routes with drivers who know your sites, cutoffs, and after-hours doors.

Terms: lab courier, specimen transport, biospecimen courier, stat courier

Sterile processing and surgery

Tray turnaround drives OR utilization. We move instruments and case supplies, and take the call when a case moves up.

Terms: surgical supply logistics, surgical supply delivery, hospital courier services

Pharmacy and infusion

Medication timing is treatment timing. Deliveries run on the appointment schedule, with temperature handling built in.

Terms: pharmacy courier, prescription delivery, stat pharmacy delivery, medication courier

Clinics and outpatient

Smaller sites get the same dispatch, drivers, and documentation as the hospital systems. No enterprise volume required.

Terms: clinic courier services, HIPAA compliant courier, medical courier near me

Whatever your facility type, the dispatch, driver standards, and documentation are the same.

The difference

Medical courier or national carrier: what actually differs?

National carriers optimize for network volume. A medical courier optimizes for the single delivery. In practice the differences are employment model, dispatch access, and documentation. UltraEx drivers are W-2 employees who can't decline an urgent assignment, and custody is recorded on every transfer rather than available on request.

Why the W-2 model matters

A contractor picks which jobs to accept, so your urgent run competes with everything else on that driver’s screen. Our drivers are employees and can’t pass on a difficult route. That costs us more, and it’s why the service holds on the days that matter.

On price

We aren’t the cheapest per delivery. The comparison worth running is total cost: redraws, staff hours chasing deliveries, rescheduled procedures. Most facilities that switch were already paying for those on a different line item.

Run the total-cost comparison with us before your next contract renewal.

Questions

Medical courier services: common questions

How much do medical courier services cost?

Pricing depends on route frequency, distance, handling requirements, and whether you need scheduled routes, on-demand STAT, or both. Recurring route accounts cost less per delivery than one-off dispatches. We quote after mapping your actual routes, because a flat per-mile rate rarely reflects what a healthcare schedule requires.

What is chain of custody in medical courier services?

Chain of custody is the documented record of everyone who handled a specimen or shipment, when, and where. UltraEx records it through GPS tracking, timestamped scans at each transfer, and digital signature at delivery. The record is available on request and holds up under audit or regulatory review.

Do medical couriers need HIPAA training?

Any courier handling protected health information is a business associate under HIPAA and needs training and a business associate agreement. UltraEx trains every driver before they carry PHI and signs BAAs as standard. Ask any courier you're evaluating to produce both. Some can't.

What is a STAT courier?

A STAT courier handles urgent, unscheduled medical deliveries dispatched immediately rather than on a route. Typical calls involve a specimen with a closing testing window, a medication needed for an appointment already underway, or surgical supplies for a case that moved up. UltraEx dispatches STAT requests 24 hours a day.

How fast is same-day medical delivery?

Same-day means within hours, not by end of business. Transit time depends on distance and traffic across the corridor, and we commit to a specific window when the run is booked rather than a general promise. Live dispatch means the clock starts on the call, not the next pickup cycle.

What areas do you serve?

UltraEx serves Northern California from the Bay Area through the Sacramento corridor, including San Francisco, Alameda, Marin, San Mateo, Santa Clara, Contra Costa, Solano, Yolo, and Sacramento counties. For deliveries outside the region, we're TSA certified for next-flight-out transport.

Can you transport temperature-sensitive specimens and medications?

Yes. We handle temperature-controlled transport for specimens, pharmaceuticals, and biologics with handling protocols matched to the material. Transport temperature is a documented part of the preanalytical phase, and specimens that drift outside their range are as unusable as specimens that arrive late.

Do you work with small clinics or only hospital systems?

Both. We run dedicated routes for independent clinics, outpatient centers, and small labs alongside large hospital accounts. The dispatch, driver standards, and documentation are identical. You don't need enterprise volume to get consistent service.

Still have a question? A real person answers, any hour of any day.

The outcome

What changes when logistics stop being a problem

With the right medical courier

  • Pickups happen in the window, every time, without a reminder
  • Lab turnaround gets predictable enough to plan around
  • Nurses and techs stay with patients instead of on hold with dispatch
  • Infusion and OR schedules hold because the supplies arrived
  • Chain-of-custody documentation is ready before anyone asks for it
  • You stop being the person who has to explain a delivery failure

Without one

  • Specimens miss stability windows and patients come back for redraws
  • Medications arrive after the appointment they were meant for
  • Cases get rescheduled because a tray didn’t show
  • Staff hours disappear into tracking down drivers
  • Compliance gaps surface during an audit, not before
  • The vendor’s failure lands on your department
